Program Policies
To ensure classes run smoothly and to guarantee effective learning, we require both students and parents to follow the policies outlined below for the Middle School Art Program and the Portfolio Program. Adherence to these guidelines is essential for creating a productive and supportive learning environment.
Registration and Tuition Policy

All registrations can be made online at https://viennart.asapconnected.com.

There is no transaction fee for payments made through Electric Check (ACH).

For payments made with a credit/debit card, there is a 3.5% transaction fee.

Early registration is highly encouraged, as it ensures a spot of your choice and grants early registration discount benefits.

Registration will be considered complete, and your class spot will be reserved, only upon the receipt of your payment.

ViennArt Academy classes usually have rolling admissions, allowing registration throughout the semester. The tuition will be adjusted accordingly.
Discounts Policy
-
Sibling / Multi-Class Discount: If two or more siblings are enrolled simultaneously in the same semester, a tuition discount will be granted to the students and/or their families. Five (5%) percent tuition discount for all siblings.

Sibling and Multi-Class Discounts are only applicable within the same session period.
For example:
If you register for multiple classes or siblings during Fall Session 1 (August 17 – November 4, 10–12 sessions), the discount will apply.
If you register for multiple classes or siblings during the Full Fall Session (August 17 – January 30, 20–22 sessions), the discount will also apply.
However, discounts cannot be combined across different session periods (e.g., one class in Fall Session 1 and another in Full Fall Session).

Multi-class discount will be revoked if the student refunds all but 1 class.

The sibling discount will be revoked if only 1 sibling attends ViennArt Academy for the session and all other siblings will be refunded.

Discounts are not applied for any supplies, materials, required technology, equipment fees, and products.

Discounts cannot be combined with any other offers or discounts.
Refund / Credit Policy

The credit card transaction service fees (3.5%) are non-refundable in the event of any cancellations for payments made with a credit card.

For all refund or credit situations, a cancellation fee of $35 will be applied.

Cancellation made 3 days before the class start date: 100% REFUND with the exclusion of the $35 cancellation fee.

Cancellation made 1 day before the class start date: No REFUND/CREDIT will be provided.

The cancellation policy is applicable to all situations and reasons.

ViennArt Academy may cancel any class with insufficient registration before the first class start date.
Attendance and Make-up Policy
-
Students can submit the Make-Up Request Form to request make-up classes about any planned absences at least 24 hours in advance.

Make-ups for missed classes cannot be guaranteed, but we will do our best to accommodate you.

A maximum of two (2) make-up classes per session (9-10 weeks), and four (4) make-up classes per session (18-20 weeks) is allowed. However, please note that make-up classes do not carry over to the next session.

Before attending a make-up class, you must arrange it with our administrators in advance.

In case of class cancellations due to inclement weather conditions, no make-up classes will be scheduled.

Absences of students cannot be credited, refunded, or rolled over to the next session.
Class Transfer Policy
-
A one-time transfer without a fee can be made if there is an open spot. A $10 transfer fee will be charged for any subsequent transfers.

Any resulting fees and tuition balance must be taken care of within 24 hours of the transfer.

ViennArt Academy will not be responsible for any classes missed by the student after the transfer has been processed.

If there is a tuition difference, only a credit is available, not a refund.
Student Drop-Off and Pick-Up Policy

Parents must escort students to the main entrance of ViennArt Academy.
-
Parents cannot stay in the classroom during the classes.
-
Students can be dropped off 5 minutes prior to the start of class.

Students can be picked up at the end of class.
-
Students under 10 years old will not be allowed to leave without a parent or guardian.
-
Please be prompt. All classes start and end on time.
Digital Art Class Policies
-
Registration: Class registration is open only for the first three weeks of the semester.
-
Attendance: The first three classes are crucial. Students should avoid missing them unless there is an unavoidable conflict.
-
Portfolio & Independent Study Classes: These are graded classes. Students should refer to NYSA’s grading policy for details.
-
Class Focus: During class, students must work solely on assignments unless instructed otherwise.
-
Prohibited Activities: Social media, gaming, or any unrelated online activity is strictly prohibited during class.

Content Restrictions: Students may not search for or access inappropriate or explicit content, regardless of age or class type.

Headphones/Earphones: Students may use headphones or earphones, but external speakers are not allowed.
Pottery Classes Policies

Dress & Preparation: Wear clothing that can get dirty, tie back long hair, and wear closed-toe shoes.

Work Areas: Keep your workspace clean and organized. Return all tools and materials to their proper place after use.

Equipment & Safety: Only instructors may operate kilns, wheels, or powered equipment. Follow proper techniques for clay handling, sculpting, and glazing. Wear gloves or aprons when required. Report any spills, cuts, or accidents immediately.

Materials: Use only instructor-approved clay, tools, and glazes. Handle all finished pieces with care; do not remove fired work until fully cooled and cleared by the instructor.

Behavior & Etiquette: Respect classmates, instructors, and studio equipment. Keep noise reasonable and avoid distracting others. Collaboration is encouraged, but never interfere with another student’s project.

Clean-Up: Wash tools, wipe surfaces, and dispose of scrap clay in designated bins. Do not pour clay or glaze down sinks.
Events and Workshop Policies

No refunds or credits will be granted for cancellations made within three (3) days of the events or workshop date.

A $20 cancellation fee will apply to all cancellation requests.
-
Workshops do not offer makeup sessions for missed classes.
School Device Policy
-
Device Assignment: Students must continue using their selected computer for the session unless the instructor allows a change.
-
File Management: Save all work in the student-designated folder. Instructors are not responsible for lost files due to improper saving.
-
Printing: Allowed only with instructor approval and from the instructor’s computer.
-
Computer Settings: Students may not alter computer settings or download software.
-
File Privacy: Students may not access other students’ files.
-
iPads & Tablet Pens: NYSA iPads are for classroom use only; they may not be taken home. Tablet pens must remain at school; lost or taken pens incur replacement fees.

Damages: Students are responsible for compensation if any device is damaged, whether accidentally or intentionally.

External Storage: Flash drives may be used to save files but must also be stored on the school computer.
Personal Device Policy

Allowed Use: Personal devices may be used only for class assignments and at the instructor’s discretion.

Instructor Intervention: If a personal device causes distraction or problems, students may be required to use a school device. Continued issues may result in losing personal device privileges.

Prohibited Use: Students may not access unrelated apps or software or leave personal devices in the department.
Conduct & Etiquette

Respect: Students must show respect to peers, staff, and the facility at all times.

Language: Only respectful language is permitted.

Instruction Compliance: Students must follow all teacher instructions and classroom guidelines.

Cell Phones: Cell phones are not allowed during class. Phones must be set to vibrate or silent mode.

Behavior Management: ViennArt Academy reserves the right to refuse admission or expel disruptive students.
Photography Rights
I realized that any photos or videos taken of my child and/or artwork during ViennArt Academy programs become the property of the New York School of Arts, and may be used in printed literature or marketing materials. I am aware there will be no compensation for the use of said photos or videos.
After School Pick-up Policy ( *After School Pick-up Students only)
No school pick-up: 2 Hour student early release days, teacher workdays, student holidays, & and any severe weather condition days.
Release Agreement
I agree to the fullest extent to be responsible for any medical bills that may incur resulting from illness or injury during my child or my participation at ViennArt Academy. I release ViennArt Academy from any and all liability and/or claims or damages arising out of personal injury of any kind. I have read and understood the contents of the Registration and Tuition Policy, including the Attendance and Makeup Policy, the Cancellation Policy, the Student Drop-off and Pick-up, the Photography Rights Policy, as well as the Release Agreement.
